You can run a profitable company for years on a file you cannot trust. Then a lender, a buyer, or a bad quarter asks a question the file cannot answer. I find what is wrong, fix it, and put the controls in place so it stays fixed.

What a broken file looks like

It balances. That does not make it true.

  • Bank and credit card accounts that have not truly reconciled in months
  • Duplicate transactions from bank feeds and apps that both post the same entry
  • Undeposited funds that never cleared and a balance sheet nobody looks at
  • A chart of accounts that grew by accident and cannot support job costing
  • Reports that say you lost money in a year you made it

That last one is not hypothetical. A seasonal distributor was about to plan his next season around a loss he never had. A vendor split one invoice line into six accounts, a full year of property tax landed inside six months, and the same tax bill was booked twice. Every entry was defensible. The report still pointed the wrong way.

What I fix

A cleanup is not a scrub. It is a rebuild of what the numbers mean.

  • Reconcile every account back to the bank, card, and loan statements
  • Clean the balance sheet so assets and liabilities are real
  • Remove duplicates and correct the historical entries that skew your reports
  • Rebuild the chart of accounts for true job costing and margin
  • Put controls in place so the file does not drift back

Moving from Desktop to Online
